Catering Software Pricing in India (2026): What ₹899 to ₹15,000 a Month Actually Buys

The Idea Behind CaterCaptain
Most software for caterers is built far from any actual kitchen - global products that assume drop-off catering and card payments, or generic restaurant POS stretched over an industry it doesn't understand. We took the opposite bet: build deep for one place first. Here's the reasoning, openly.
Catering software in India costs anywhere from ₹899 a month to ₹15,000 a month, and the headline price tells you less than the fine print. The cheapest option is a restaurant POS with a catering mode; the dearest are American products billed in dollars that no Gujarat caterer should buy. In between sit the Indian products built for caterers, where first-year prices, per-user fees, add-ons for WhatsApp and mobile, and whether GST is included can move the real cost by ₹20,000 a year or more.
This guide lists every published price we could find on 15 October 2026, explains the six things that change the real number, and works through a three-year total for a typical mid-size caterer so you can compare like with like. CaterCaptain is our product; it is in the table with everyone else and the same rules are applied to it.

Two patterns stand out. The products with the lowest headline price (DineOpen, BuildMenu) are monthly and do not publish user limits, so the number to ask for is the annual price at your team size. The products with annual pricing (Jucas, CaterCaptain) publish user limits, which makes them easier to compare but means the first-year figure is what you will actually pay.
Six things that change the real price
1. First-year versus renewal pricing. Jucas charges ₹24,000 in year one and ₹8,000 from year two; the ₹16,000 difference covers setup, training and migration. That is a fair model, but it means the three-year cost is ₹40,000, not ₹24,000 or ₹72,000. Ask every vendor whether year two costs the same as year one.
2. Per-user fees. Jucas includes 3 users and charges ₹1,500 a year for each extra; Caterease charges per user per month. A caterer with an owner, a manager, two storekeepers and two kitchen captains has six users. On Jucas that adds ₹4,500 a year; on Caterease it multiplies the whole bill by six. CaterCaptain's Standard plan includes five users with no per-user charge; check the limit against your real team before signing anything.
3. Add-ons that are not optional for you. WhatsApp sending, a mobile app and accounts are add-ons on Jucas (₹5,000, ₹3,999 and ₹12,000 then ₹4,000 a year). If you will use all three, the real year-one price is ₹44,999 and renewal ₹20,999. On Petpooja, inventory, CRM and online ordering are each separate. Build your own "fully loaded" column before comparing.
4. GST. Software attracts 18% GST. A price quoted "+ GST" is 18% higher than it looks: Jucas's ₹24,000 becomes ₹28,320 on the invoice if GST is extra. CaterCaptain quotes GST-inclusive prices; most Indian vendors do not say either way, which usually means it is extra. Ask.
5. AMC and support. Some vendors (Jucas among them) describe the renewal as an Annual Maintenance Contract covering updates, backups and support; on-site support is charged by location. Others fold support into the subscription. The question is not whether there is an AMC but what happens if you stop paying it: do you lose access, updates, or both?
6. Transaction and payment fees. Restaurant POS products sometimes earn on payment processing (1–3% of billing) rather than subscription. DineOpen advertises zero transaction fees for exactly this reason. A caterer billing ₹30 lakh a month would pay ₹30,000–90,000 a month on a 1–3% fee, which dwarfs any subscription. Confirm in writing that the software takes no cut of your billing.
Three-year cost for a typical mid-size caterer
The example: one HQ store, two kitchens, 25 events a month in season, six people who need a login (owner, manager, two storekeepers, two captains), and the owner wants WhatsApp sending and a phone interface for the captains. GST at 18% is added wherever the vendor does not say it is included. Where a vendor does not publish a price we use the figure users report and mark it.
| Tool | Year 1 | Year 2 | Year 3 | Three-year total | What is included at that price |
|---|---|---|---|---|---|
| DineOpen | ₹10,788 (+ GST ₹12,730) | ₹12,730 | ₹12,730 | ≈ ₹38,000 | Calendar, costing, payments, POS. No HQ dispatch; user limit not published, assume included |
| BuildMenu | ₹11,988 (+ GST ₹14,146) | ₹14,146 | ₹14,146 | ≈ ₹42,000 (if the ₹999 tier covers 6 users and WhatsApp - verify) | Proposals, CRM, GST invoices. No dispatch |
| CaterCaptain Standard | ₹999 + 11 months ≈ ₹19,999 | ₹19,999 | ₹19,999 | ≈ ₹60,000 | 1 HQ + 2 kitchens, 5 users (6th user needs Premium or an add-on - check), WhatsApp one-click, Gujarati, dispatch, P&L; GST included |
| CaterCaptain Premium | ₹39,999 | ₹39,999 | ₹39,999 | ≈ ₹1,20,000 | 1 HQ + 5 kitchens, more users, multi-kitchen dispatch; GST included |
| Jucas, core only + 3 extra users | ₹24,000 + ₹4,500 = ₹28,500 (+ GST ₹33,630) | ₹8,000 + ₹4,500 = ₹12,500 (+ GST ₹14,750) | ₹14,750 | ≈ ₹63,000 | Orders, menus, reports, raw material list, labour, quotations. No WhatsApp, no app, no accounts |
| Jucas, fully loaded + 3 extra users | ₹44,999 + ₹4,500 (+ GST ₹58,409) | ₹20,999 + ₹4,500 (+ GST ₹30,089) | ₹30,089 | ≈ ₹1,19,000 | Above plus accounts, stock, payroll, WhatsApp/Email/SMS, Android/iOS app |
| Petpooja (user-reported) | ≈ ₹18,000 + inventory ≈ ₹5,000 (+ GST ≈ ₹27,000) | ≈ ₹27,000 | ≈ ₹27,000 | ≈ ₹81,000 | Restaurant POS and inventory; no event lifecycle, no dispatch, no per-plate norms |
| Caterease, 6 users | $125 × 6 × 12 + $200 × 6 = $10,200 (≈ ₹8,77,000) | $9,000 (≈ ₹7,74,000) | ≈ ₹7,74,000 | ≈ ₹24,00,000 | US event management; no GST, no Indian languages |
Read the right-hand column before the totals. DineOpen at ₹38,000 over three years and Jucas fully loaded at ₹1,19,000 are not the same product at different prices; they are different products. The honest comparison for our example caterer, who needs dispatch across two kitchens and WhatsApp sending, is between CaterCaptain Standard (≈ ₹60,000) and Jucas fully loaded (≈ ₹1,19,000), and even then Jucas brings accounts and payroll that CaterCaptain does not have, while CaterCaptain brings dispatch, returns and per-event P&L that Jucas does not. Price the capabilities you will use, not the plan names.
What you should expect to pay, by size
A rule of thumb that holds across the Indian products: good catering software should cost less than 1% of annual revenue, and should earn that back on material alone. A caterer billing ₹50 lakh a year who over-orders by 8% on ₹25 lakh of material is losing ₹2 lakh a year; a ₹20,000 subscription that recovers a quarter of that has paid for itself twice.
| Your business | Annual revenue | Reasonable annual spend | Too much |
|---|---|---|---|
| Solo or family caterer, 5–15 small events a month | ₹10–30 lakh | ₹10,000–15,000 | Anything with per-user fees or above ₹25,000 |
| One kitchen, 15–40 events a month | ₹50 lakh – ₹2 crore | ₹15,000–45,000 | Above ₹60,000, or any dollar-billed product |
| HQ + 2–5 kitchens, 500–3,000 plate events | ₹1–5 crore | ₹40,000–1,20,000 | Above ₹1.5 lakh unless it includes attendance, accounts or a dedicated app |
| Institutional contracts, 5–20 sites | ₹2–10 crore | ₹60,000–2,00,000 | Enterprise ERP quotes above ₹5 lakh for a mid-size operator |
If a quote lands above the "too much" column, the usual reasons are per-user pricing, a restaurant product being stretched to catering, or a one-off custom build whose developer will not be around in year two.
Ten questions to ask before paying
Get the answers in writing, on the quotation, not on a call.
- What is the price in year two and year three?
- How many users are included, and what does each extra user cost?
- Is GST included in the price shown?
- Which of these are add-ons: WhatsApp sending, mobile app, accounts, stock, extra kitchens, extra events?
- Is there any charge per event, per plate, per message, or as a percentage of billing?
- What is the setup or onboarding fee, and is on-site training extra?
- What happens to my data and my access if I stop paying?
- Can I export everything (events, customers, invoices) to Excel at any time?
- Is there a trial or a money-back period long enough to run two real events?
- Is the price I am being quoted the same price on your website? If not, why?
Frequently asked questions
How much does catering software cost in India?
Published prices in October 2026 run from ₹899 a month (DineOpen) and ₹999 a month (BuildMenu) to ₹8,000–24,000 a year for Jucas's core plan and ₹19,999–39,999 a year for CaterCaptain with GST included. Add-ons, extra users and GST can add ₹5,000–25,000 a year to the headline figure. US products such as Caterease and CaterZen cost ₹7,000–20,000 a month and are billed in dollars.
Is there free catering management software?
No maintained catering product is free in India. Trials exist (DineOpen 7 days, CaterCaptain's ₹999 first month with a 30-day refund), and IndiaMART sells one-time builds from ₹2,000, which have no updates or support. Spreadsheets and WhatsApp are free and cost caterers 8–15% in material over-ordering.
Why do some vendors not publish prices?
Usually because pricing is per outlet or per module and negotiated by the sales team (Petpooja, Posist), or because the product is sold through demos (MealPe). Not publishing is not a red flag in itself, but it means you must ask the ten questions above before comparing.
Is annual or monthly billing better for a caterer?
Annual is cheaper per month and matches the seasonal cash flow if you pay before the November–February season. Monthly is safer for the first three months while you confirm the storekeeper and captains will actually use it. A product with a money-back guarantee gives you the annual price with the monthly safety.
Does catering software charge a percentage of my billing?
Dedicated catering products (Jucas, CaterCaptain, BuildMenu) do not. Some restaurant POS products earn on payment processing; always confirm "no transaction fees" in writing.
What is the cheapest catering software in India?
DineOpen at ₹899 a month is the cheapest published price for a product with an event calendar and per-plate costing. It is a restaurant POS with a catering mode, so it is the right answer for small caterers and restaurants that cater, and the wrong answer for multi-kitchen operators.
